This page describes which data Boekwise uses, what for, with whom we share it and how long we keep it. Send questions to [email protected].

Who is responsible

Boekwise is responsible for your account and your use of the service. You are responsible for the data you put into your books, such as that of your customers and suppliers; we only process it to provide the service to you.

Which data

  • Your account: name, e-mail address, password (only stored encrypted), language and, if you turn it on, your two-factor sign-in settings.
  • Your company and books: company details, invoices, quotes, contacts, bank and payment details, receipts and everything else you book.
  • Use and security: when you log in, your IP address, and a log of the changes made to your books (the audit trail).
  • Payments: your subscription, our invoices to you, the name and address you want on them, and whether they were paid. Card details go straight to Stripe; we never see or store them, only the card’s brand and last four digits when you save one.
  • Reseller applications: if you apply to become a reseller, who you are (for a company its name, registration and tax number; for an individual your name, date of birth and tax number), your address, phone number and website, your answers about your business, and the documents you send: an extract from the trade register for a company, a passport or ID card and a proof of address.

What for

We only use your data to provide and secure the service, to charge your subscription, to decide on reseller applications and to send you the e-mails that come with the service, such as confirming your e-mail address, invitations and reminders. We don’t sell data, show ads or track you.

With whom

  • Our hosting provider, where the service and its backups run.
  • Stripe, for card payments of our invoices: your name, e-mail address and the invoice amount.
  • Your reseller, if you took your subscription through one: the name of your account and companies, your plan and whether your account is active, so they can manage and invoice your subscription.
  • Anthropic, only when reading receipts automatically is part of your plan: the photo or PDF of a receipt is sent to Anthropic to read its details. Under Anthropic’s commercial terms, this data is not used to train models.
  • Our e-mail provider, to send the service’s e-mails.

These parties only use your data for what we ask of them. We share nothing else, unless the law requires us to.

How long

  • We keep your books and account as long as your account exists. After you cancel, we remove them at your request, except what the law requires us to keep.
  • Documents sent with a reseller application are deleted when we decline it. For an approved reseller we keep them, with its other details, as long as it is a reseller.
  • The firewall’s log, with refused requests and their IP address, is kept for 30 days.
  • The log of what the platform’s administrators do is kept for a year.

Security

The service only works over an encrypted connection (HTTPS). Passwords are only stored encrypted, you can turn on two-factor sign-in, rights apply per company and every change to your books is recorded.

Cookies

The service only uses cookies it needs to work: to keep you logged in, to secure forms and to remember your language. This website uses no cookies and no analytics.

Your rights

You can see your data, have it corrected, export it or have it removed, and object to its use. E-mail [email protected] for any of these. If you live in the European Union, you can also complain to the data protection authority in your country.

Changes

If we change something important in this policy, we tell you in advance by e-mail or in the service.
